Privacy Policy

The short version#

Caliber is a hiring and sales coaching platform.

If you are a candidate, you interview with an AI interviewer. That conversation is transcribed, and an automated system scores it against criteria the hiring company set. Your score, and quoted excerpts of what you said, are shared with that company. We keep your account and your results after the interview ends so we can match you with other roles.

If you are a sales rep or manager, your employer connects your real sales calls to Caliber, and we score them and build coaching from them.

This page explains all of it: what we collect, why, who else sees it, how long we keep it, and what you can ask us to do about it.

Who we are#

Caliber is operated by Caliber ASI Inc., a Delaware corporation, at 1209 Mountain Road PL NE, Ste R, Albuquerque, NM 87110, United States.

Who this policy covers#

Candidates. You applied to a role through a Caliber link. Your account is with Caliber, not with the company you are interviewing for. We decide how your data is used, which makes us responsible for it.

Sales representatives and managers using Caliber through your employer. Your employer chose to use Caliber and controls most of what happens to your data here. We handle it on their instructions. If you want your data corrected or deleted, start with your employer and we will help them action it.

People who appear in recorded sales calls. If a Caliber customer's sales rep recorded a call you were on, that recording may be analysed in Caliber. The customer is responsible for that recording and for telling you about it. See the section near the end written for you.

What we collect, and why#

Two things we want to be clear about, because people reasonably assume otherwise:

We do not record video of your interview today. Your camera may show a preview of yourself on your own screen. That image never leaves your device. It is not sent to us or to anyone else. This is one of the things most likely to change as the product grows, so it is written as what is true now rather than as a guarantee, and we will update this policy before any of it changes for you. See "The AI interview, and how the decision works".

We do not track you. No advertising trackers, no third party analytics, no marketing pixels. The only cookies we set are the ones that keep you signed in and confirm you control your email address.

If you are a sales representative or manager

We collect the account details above, plus:

  • Your practice call transcripts and scores.
  • The recordings and transcripts of your real sales calls, which your employer connects through their call recording tool.
  • Scores and coaching feedback derived from those calls, including quoted excerpts of what you said.
  • Speaking metrics: pace, talk ratio, filler words per minute, longest uninterrupted stretch.
  • A daily ranking against colleagues in your organisation.
  • Practice drills targeting specific moments from your real calls.

Your employer instructed us to do this and decides who inside your company can see it.

The AI interview, and how the decision works#

Your interview is conducted by an AI interviewer that speaks with you.

Your voice goes directly from your browser to our voice partner, ElevenLabs, which conducts the conversation and produces the transcript. ElevenLabs holds the conversation for a limited period so we can retrieve the transcript if something goes wrong.

Today we keep the transcript, not the audio. We do not hold a copy of the recording ourselves once the transcript exists.

We expect that to change. As Caliber grows we are likely to start keeping interview audio, and possibly video, so calls can be reviewed and coached from rather than only read. When we do, we will update this policy before it applies to you: what we keep, how long, who can play it back, and how to have it deleted. We will not apply that change to interviews you have already given without telling you.

Two things stay true either way. Keeping a recording is not the same as making a voiceprint or a synthetic copy of your voice, and we will not do the second without asking you for permission specifically for it, which you can refuse without losing your interview. And whatever we hold, you can ask us to delete it: see "What you can ask us to do".

The transcript is then scored by a large language model. We use OpenAI as our primary provider, and Anthropic as an automatic backup when OpenAI is unavailable, so your transcript may go to either. The score is produced against a rubric the hiring company defined.

What the score does

For each role, the hiring company sets a minimum Caliber score. You take one introductory call and three scored practice calls. Your Caliber score is the average of your best result on each of the three scored calls.

If it meets or beats the company's minimum, your application advances. If it does not, your application does not advance automatically.

No computer rejects you

Caliber does not automatically mark anyone as rejected. Not clearing the bar means the automated part of the process does not move you forward on its own. The hiring company can still look at your application and decide.

You can see the number, and you can try again

We show you your score and the company's minimum, so you know exactly where you landed. You can re-attempt any of the scored calls, and we count your best result on each one.

You can ask a person to look

If you think an automated score got you wrong, email privacy@caliberhq.com and a person at Caliber will review it. Tell us why you think the score is wrong. We are a small team and review these by hand, so it may take us up to 30 days, and we will tell you the outcome.

Who else sees your data#

The company you interviewed for

They see your name, contact details, profile, résumé, your scores and breakdowns, and quoted excerpts of what you said in your interview. That is the point of the service.

Once they have that information they hold their own copy, and their own privacy policy governs it. If you ask us to delete your data, we cannot delete their copy, but we will tell you who they are so you can ask them directly.

We use a small number of companies to run Caliber. They process your data only to provide their service to us.

We do not sell your data. We do not share it with advertisers, and we do not use third party analytics or advertising trackers.

How we improve Caliber#

We use what happens on Caliber to make Caliber better, including your interviews and your results. A scoring system that never learns from real interviews stays wrong in the same ways, so this is part of how the product works rather than a side use of it.

Concretely, we use interviews, transcripts, and scores to improve how scoring works, to make the AI interviewer better at holding a useful conversation, and to find cases where our scoring got someone wrong.

Limits we hold ourselves to:

  • Our AI providers do not train their models on your data. We use them to score and analyse, and that is all.
  • We do not use your voice to build or train a synthetic voice, and we do not use your voice or likeness in marketing.
  • We do not use a company's sales calls to improve Caliber unless that company has agreed to it. If you are a rep, your employer decides this, not us.
  • We work to keep this from encoding bias. Learning from past interviews can carry forward patterns that should not influence hiring. We take that seriously and we do not treat it as solved.

You can object. If you would rather your interviews were not used to improve Caliber, email privacy@caliberhq.com and say so. You can keep using Caliber either way, and it will not affect your score or your application.

Where your data goes#

Caliber stores and processes your data in the United States. Our database and files are held in Oregon, our applications run in Virginia, and our other providers operate in the United States.

Caliber is offered in the United States. It is not offered to people in the European Economic Area or the United Kingdom, and we do not target those markets. If you are outside the United States and use Caliber anyway, your data is stored and processed in the United States.

How long we keep it#

We keep your account, your profile, your interview transcripts, and your results while your account is open, so you can see your own history and so we can match you to other roles. If we start keeping interview recordings, we will state how long we keep them here before we do, and a recording will never outlive the account it belongs to.

To close your account and have your data deleted, email privacy@caliberhq.com and ask. We will delete your profile, your transcripts, your uploaded files, and your results within 30 days of confirming your request, except where we have to keep something to meet a legal obligation or to defend a legal claim. We ask our providers to delete their copies too.

We cannot delete the copy held by a company you interviewed for.

What you can ask us to do#

You can ask us to:

  • Show you everything we hold about you.
  • Give you a copy in a portable format.
  • Correct anything wrong in your profile.
  • Delete your account and everything attached to it.
  • Stop using your data for matching, while keeping your account.
  • Have a person review an automated score that affected you.
  • Object to your interviews being used to improve Caliber.

Email privacy@caliberhq.com and tell us what you want. We handle these requests by hand rather than through an automated tool, so please give us a little time.

We will acknowledge your request within 7 days and complete it within 30 days. If your request is complicated, or if you have made several, we may need up to a further 60 days, and we will tell you why within the first 30. We may ask you to confirm your identity first, so that nobody else can make these requests about you.

If you appeared in someone else's sales call#

Some Caliber customers connect their call recording tool so their sales team's real calls can be analysed. If you were on such a call, your name, email address, and what you said may appear in that customer's Caliber account.

The customer, not Caliber, decided to record and analyse that call, and is responsible for telling you about it. If you want that data removed, contact the company whose representative you spoke to. You can also email us at privacy@caliberhq.com and we will pass the request on.

Security#

Your connection to Caliber is encrypted, and data is encrypted at rest by our providers. Access to your data inside a hiring company is limited to that company's administrators. Credentials for any tools your employer connects are encrypted before they are stored.

No system is perfectly secure. If a breach affects you and the law requires it, we will notify you and the relevant regulator.

Children#

Caliber is for people in professional employment and is not intended for anyone under 18. We do not knowingly collect data from children.

Changes to this policy#

We will post a new version here with a new version number and effective date. If a change materially affects how we use your data, we will tell you and, where the law requires it, ask you to accept the new version before you keep using Caliber.
